You Have Six Outstanding Compliance Modules

Summary:

Shane Hollander is trying his best to keep everyone compliant with Health, Safety and Wellbeing standards at Centaurs by Design. Ilya Rozanov does his best to make Shane's job as difficult as possible.

Notes:

So my friend came across a reel about HR and couldn't work out how it related to Heated Rivalry before they realised it was actually about Human Resources. She inspired me to write this and also beta-ed 💖 This was really just an excuse to make my fictional boys suffer The Real Horrors of HSW Compliance in the other HR.

This fic is inspired by real things that I have endured in my jobs over the years although obviously everything has been fictionalised. I also want to note I only know how HSW Compliance works in Australia so let's just assume the OHS laws are the same in Canada for this fic. I will include a glossary of terms in the ending notes so hopefully it doesn't get too confusing.

As discussed in the Leadership Strategy meeting at the beginning of the year, one of our significant learnings from the most recent employee engagement survey results has been to improve administration of our safety risk management systems. Managers play an integral part in leading an improved culture of health, safety and wellbeing in the workplace, and ensuring transparency within risk management systems to build employee trust.

It is essential that all responsible managers open investigations of any incidents or observations submitted in Noggin by their direct reports within ten days of submission, in line with our HSW improvement strategy. All investigations must be closed within ten business days of their opening, unless a written exception has been made by the Deputy Director of Health, Safety and Wellbeing.

I note that you currently have three incidents recorded by your team which have been flagged for outstanding investigations in Noggin:

  • #00041 - submitted 13/01/2025 - Noise disturbance from aircon vents
  • #00047 - submitted 16/01/2025 - Coffee hot hurt tongue
  • #00059 - submitted 23/01/2025 - Bird flew into meeting room

Incident Description: A pigeon flew into Boardroom 2 while I was presenting Q1 projected profit figures. There is no window in Boardroom 2 so I am unsure how it got in?? Facilities executive was called to assist with bird removal, but pigeon managed to poop on Dallas Kent’s head first.

Incidents Overview 

Over the time period between 17/02/25 - 23/02/25:

  • We had no new incidents logged.
  • We currently have two open incidents. Both have active investigations, which were opened within the directed timeframe.
    • Incident #00071 - submitted 13/02/25 - dropped glass in kitchen and cut hand during cleanup - investigation opened by Scott Hunter, Senior Manager of Communications & Marketing 19/02/25
    • Incident #00072 - submitted 14/02/25 - overheard one of the grads call Ryan Price a slur - NB: this was marked as a confidential incident report so investigation opened by Carter Vaughan, Deputy Director of HSW 17/02/25
  • The three overdue investigations have now been completed by Ilya Rozanov, Financial Controller (Commercial Operations) and signed off by Brandon Wiebe, Director of Commercial Operations.
    • NB investigations don’t really address our risk management frameworks so I have been unable to assign corrective actions.
    • Requesting your assistance to review investigations for #00041, #00047 & #00059 to advise next steps?
  • There were ten corrective actions due during this time period. All actions were marked completed by owners with written and/or photographic evidence attached. I have now marked all the relevant incidents closed.

Observations Overview

Over the time period between 17/02/25 - 23/02/25:

  • We had one observation logged. #00012 - submitted 20/02/25 - flickering light in focus room causing headache. This was raised by Harris Drover, Social Media Manager - I have manually reassigned investigation ownership from Scott Hunter, Senior Manager of Communications & Marketing to Wyatt Hayes, Facilities Executive.
  • There are no other observation investigations due or open. 
  • There were three corrective actions due during this time period. Two have been actioned with photographic evidence attached. One corrective action is still pending as there has been a shipping delay for the ergonomic wrist pads requested by Eric Bennett, HRBP Corporate Services, with expected arrival on 26/02/25.

Hey Hayden,

Thank you for that detailed breakdown. You’ve done a great job on setting up these weekly reports in 2025 and we’ve already seen the data driving more managers to step up their leadership roles in completing timely safety management investigations.

I have reviewed Ilya Rozanov’s investigations as requested - although not ideal, they have been signed off by Brandon Wiebe so there's not much that we can do to correct them. We can still assign the following corrective actions, unless Carter has anything further to add:

  • Incident #00041 - Eric Bennett, HR Business Partner (Corporate Services) can be assigned a corrective task to communicate expectations around appropriate behaviour in the workplace.
  • Incident #00047 - Wyatt Hayes, Facilities Executive can be assigned a corrective task to communicate instructions for safe handling of the coffee machines in our building. However I do agree with Rozanov in that ownership really should be on Tanner Dillon to be able to read the very straightforward instructions.
  • Incident #00059 - I believe Property Services took this over from the Facilities team to ensure clean-up and safe removal of the pigeon from our premises following the incident. Assign corrective action on Eric Sullivan, Director of Property Services to devise a process for safe removal of animals from the office similar to the one he designed for our warehouses last year. We can get JJ on board to assist as well.

Said it went against his Russian sensibilities

Hi Harv,

I had a sit down with Dallas Kent yesterday afternoon to discuss his frankly disgusting behaviour toward his former grad supervisor Ryan Price. He showed no remorse and in fact doubled down on using slurs in our interview.

It is my recommendation that we terminate his employment contract ahead of time for breach of policy. I understand his family links to CEO Crowell may make this difficult, but this is not the kind of workplace culture Carter and I have worked to curate.

His current grad supervisor Ilya Rozanov has also pointed out a history of performance issues and Kent’s consistent refusal to engage with feedback. I loathe to defend Rozanov, but I really have no honest answer to give him when he asks why we hired a ‘talentless hack’.

Kent’s currently in his probationary period so while we are not legally obligated to provide a reason for termination, I think it is very important that we clearly lay out the reasons for termination for Roger Crowell’s sake.

Hi Eric,

I appreciate your sentiment and the difficult work that you and Carter have done for this investigation.

Unfortunately we are not in a position to publicly terminate the CEO’s godson. I have instead made the recommendation that Dallas Kent complete his final grad rotation in the office of the CEO and Roger can experience the wonderful work ethic of his favourite godchild for himself.

The change will be effective from Monday 3 March 2025. Please inform Mr Rozanov he is no longer the reporting manager, although he may still receive some system approval requests while the HR Ops team processes the reporting line change to Frank Zullo.

Incident Details

Incident Classification: Injury/Illness (Personal)

Incident Title: dropped glass in kitchen and cut hand during cleanup

Incident Description: I accidentally dropped the glass I was drinking from in Level 4 kitchenette. I found a small dustpan but no gloves in the kitchenette for clean up. I cut my hand when picking up the bigger broken glass pieces when trying to dispose of them. Luckily there was a first aid officer also in the kitchen at the time. She administered first aid to slow down bleeding, and called me an uber to closest urgent care clinic. The gash required 3 stitches but no lasting damage.

Recommendations from investigation: Provide additional larger brush & pan as well as gloves in Level 4 kitchenette, and any other appropriate cleanup tools to match other kitchen areas.

As discussed in our meeting today, to support our HSW Leadership and Capability objectives as outlined in the HSW Management Plan, we ask all HSW Committee members to complete the following learning modules. These modules are crucial for building a shared language and understanding of Health, Safety, and Wellbeing across our organisation:

  • Health, Safety & Wellbeing at CBD
  • HSW Hazard Identification
  • HSW Incident Management
  • HSW Ergonomics
  • HSW Manual Handling
  • HSW Safe Handling of Knives

Each module has a time commitment of around 30-45min. Please complete all modules by 30 April 2025.

If you require any assistance please reach out to myself or a member of the HSW Advisory team for support.
